Introduction


Hotel Travel Settings present one of the most vital parts of any website configuration that uses hotel service on the Thomalex system. 


This part of the corporation's travel group settings consists primarily of the options for hotel travel specifications such as availability date ranges as well as the options to enter your special rate codes among other settings.  


Configuring hotel travel settings in a way that is in alignment with your company's hotel travel rules is out of the most significance before starting to create hotel bookings.



Hotel Travel Settings


To access Hotel Travel Settings use the following path:

In the following lines, you will find references for all available settings within this part of the travel group options for all customers:


Setting NameDescription
Show availability starting fromAllows you to specify the starting date of hotel availability.
Show availability up tillSpecify the number of days up to which the availability will be presented.
Predefined LocationsAllows the users to specify predefined Locations which will be shown on the Booking Engine for a quicker and more specific search.
Display advanced HOTEL search features (Amadeus)Amadeus hotel-related option.

If activated, this option will allow you to enter specifics regarding hotel results provided by Amadeus GDS.

Hotel Chain - Select Hotel Chain to which it will be applied.

Hotel Name - Enter the hotel name.

Hotel Address - Enter the Hotel address.

Area - Specify the area from the dropdown menu to which the rule will be applied.

Points of Intrest - Specify any points of interest.

Postal Code - Enter Postal Code.

City Name - Enter the name of the city to which the rule will be applied.
Choose hotel by star categoryEnables star category rating for hotel results.
Display Hotel Provider InfoActivates the ability to see the hotel provider.

An example of a hotel provided by Amadeus GDS:

Display sold-out hotelsIf enabled, sold-out hotels will be present in search results.
Disable GDS Content. If activated, no GDS content will be presented in search results.
Allow multiple hotel segments.Allows you to book multiple hotel results in one booking.
Show Special Instruction Field on Shopping CartEnables a field where special instructions can be sent to the hotel before finishing hotel booking in the shopping cart.

Enable Multisource SearchEnables multisource hotel search for GDS system results.

Note that this option will first need to be enabled by Amadeus for an OfficeID and then in Website Settings.
Hide phone and fax numberIf enabled, phone and fax numbers will be hidden.
Hide modify the search buttonRemoves the "Modify" button when the search results are acquired, preventing passengers from modifying search results.
Hide maps on the results pageIf activated, maps, where hotels are located, will be removed from search results.
Disable multi-roomIf enabled, multiple-room bookings will be forbidden.
Reduce Google Maps ContentThis option allows you to shrink the usual display of maps for hotel results.
Enable Geolocation SearchIf enabled, the search engine will use longitude and latitude to provide autosuggestions based on City or Landmark names entered in the "Check-in Location" field on the booking tool.

Activating geolocational search will provide you with more autosuggestions besides the regular airport and city upon entering check-in locations.

Additionally, it allows you to specify the diameter of the radius that will be taken into account upon doing the search.

The radius that can be specified ranges from "5" to "99" KM or Miles.
Include the hotel voucher in an emailOnly for Non-GDS hotel results.

Once activated, it will provide you with a field where you can specify a custom voucher text that will be sent an email for Non-GDS hotel results.

Hide agency info in voucher - Additional option that hides the agency info in the voucher.
Display PoliciesSelect from three possible options to display flight results according to established Hotel Travel Policies.

The available options are:

Display all options - Will display all hotel results regardless of being in or out of policy.

Display only in policy - Will display only hotel results that are "In policy".

Display out of policy only if in policy is not available - Will display hotel results that are out of policy since no "In policy" hotel results are able to be provided.
Travel ApprovalAllows you to select between three possible rules for car travel approval requirements that will be applied to all members of the travel group.

Three possible options are:

Never needs Approval No approval will be required for completing car reservations.

Always needs Approval Creates an imperative that all flight reservations will require approval.

Approval is only needed when booking is out of policy - Sets a rule that the approval is required only for the flight results that are "Out of policy'.
NotificationsSpecify whether hotel travel notifications such as booking confirmations or cancelations will be sent to passengers.

There's an option to toggle between "Always needs Notifications" and "Never needs Notifications".
Sort Hotel Results byAllows you to specify the three levels of flight result sorting.

By default, only the first level will be set with the rule "Price (Cheapest First)"
On Request Hotel SettingFirst needs to be enabled in the Website settings by Thomalex Team.

Enable On Request Hotel Search - Enables "on-request hotel" search that has previously been defined from the "On-Request Hotel" creation panel in the dashboard.
Send an Email to On Request Hotel ProviderIf enabled, an email will also be sent to the "On-request hotel" provider.
Special rate codes to search (Amadeus, Sabre)Part of Hotel Travel Settings where special rate codes are entered for eighter Amadeus or Sabre GDS.

A universal indicator for a special rate code being applied to the search result is a star icon ().

Each Travel Group can have up to eight special rate codes specified.

Special rate codes to exclude (Amadeus, Sabre)Allows you to set the special rate codes that will be excluded from the search requests.
