Introduction


This document will explain and help you understand the Request assistance from travel agent option.

How to use it


When the import of offline booking is enabled, the arranger or traveler will have the option to request assistance from a travel agent. You can request assistance on any page, on the search form, on the search result page, and in the shopping cart.

Depending on which kind of approval flow you set (approval rules, cost center approval, or regular approval rule) you need to click on the request for assistance from the Travel agent on a different page.


If you have a standard approval flow or cost center approval flow, you can click on the Request assistance from Travel agent on the search form:

After you click on it you will have the form from where you will have the option to choose which type of reservation you want to request assistance and information about your trip:

After you fulfill the information about your reservation and click on the button Request Assistance the system will create an empty PNR with information about which reservation you want to create.

If your approval flow is set through Approval Rules, in order for that approval rules to be applied to your reservation, Request Assistance from Travel Agent you need to submit from the shopping cart. So, after you added air, car, or hotel to the shopping cart, click on the Request Assistance button:

After you click on it, in the form for Requesting assistance the flight, car, or hotel that you added to the shopping cart will be considered as one that you want to book.

Also, you can add loyalty programs, meals, or seats that you want to have:

After you click on the Request Assistance button, you will get the PNR on the screen and an email will be delivered with the subject:

After offline reservation is created and imported, when the traveler logs in, he will be able to see the proposal under the My Bookings tab:

If Traveler accepts Proposal he/she will receive an email with the title:


Booking Confirmed for a reservation: -Name of the passenger-


If there is no approval flow, the reservation will right away change status to Booked:

If there is an approval flow and when the traveler accepts the proposal, the reservation will be in the Pending status and it will be sent to the approver for approving it. Travelers will receive an email after the reservation is approved:

If travelers decide to reject the proposal the reservation will stay in the pending status, and an email will be delivered with the title:


Booking rejected by the traveler: -Name of the passenger-
